Key Responsibilities:
Pre-Game Community Group Hospitality & Coordination
- Serve as the primary point of contact for all community-facing gameday pre-game festivities, including Baseball Buddies teams, National Anthem performers, and First Pitch guests.
- Manage ongoing communications, confirm schedules, provide arrival details, and coordinate logistical needs in advance of game days.
- Actively manage and book incoming Baseball Buddies submissions as requests roll in throughout the active season.
- Greet pre-game festivities participants upon arrival at Wade Stadium, guide them through pre-game check-in, manage pre-game staging, and seamlessly transition them onto the field for ceremonies.
- Coordinate and assist with all visiting local businesses and community group promotional tabling setups on the concourse throughout the evening, capturing content.
Sponsorship Fulfillment Audit & Deliverable Tracking
- Review all corporate sponsorship contracts alongside the Front Office to build and maintain a master season deliverable tracking sheet.
- Act as the internal liaison for sponsorship execution, ensuring the entire marketing team fulfills all contractual obligations (e.g., verifying PA reads, on-field contest sponsorships, logo placement on specific recurring graphics like Sunday gameday posts, concourse tabling, and outfield wall signage).
- Conduct weekly audits with the Graphic Design & Social Media and Marketing & Promotions interns to cross-check upcoming homestand deliverables and confirm 100% contract compliance.
- Capture photo and video proof-of-performance assets (sponsor signage, on-field promotions, concourse tabling) to include in post-season sponsor recap packages.
Grassroots Marketing & Schedule Distribution Campaign
- Lead the early-season local business canvas campaign to distribute pocket schedules, schedule posters, and promotional collateral across Duluth, Superior, and surrounding areas.
- Maintain and restock pocket schedule displays at high-traffic community locations throughout the season.
- Manage directional gameday signage: Place "Game Today" yard signs with correct time inserts at key local street corners every morning before home games, and ensure all signage is collected post-game.
Local Business Outreach & Prize Donations
- Take full lead on local business outreach to solicit and secure prize donations, gift cards, and promotional items for major stadium giveaways and theme nights, including Christmas in July and 9 Innings of Winning.
- Build and maintain an organized inventory tracking log of donated prizes, business donor contact information, and delivery schedules.
- Coordinate with the Marketing & Promotions Intern to ensure secured prizes are properly prepped and staged for gameday distribution.
Community Outreach & Signature Programs
- Take the operational lead on planning and executing community outreach events, youth initiatives, and player appearances throughout the summer.
- Coordinate and manage "Storytime with the Huskies" programming, including organizing player visits across multiple regional library branches for morning book readings and autograph sessions, as well as hosting a Storytime event at Wade Stadium.
- Plan and execute 3-4 additional summer community events, tabling setups, and mascot appearances at local community festivals and partner locations.
Gameday Operations, On-Field & Content Support
- In-Game Community Activations: Directly oversee, lead, and manage any community-oriented events or non-profit initiatives taking place at the ballpark during games.
- On-Field Promotions Support: Serve as an extra set of hands on the field during between-inning promotional games and fan contests, supporting the on-field host and the Marketing & Promotions Intern (who leads on-field game execution).
-
Digital & Content Assistance: Assist the Marketing & Promotions Intern with filming pre-game TikToks and Instagram Reels (when primary duties are complete), capturing mobile photos/videos for homestand photo dumps, and posting live Instagram Stories during the game.
Additional Responsibilities
- Assist with pre-game setup and post-game cleanup, including maintaining stands, restrooms, and other shared spaces.
- Participate in other projects assigned by the front office to support overall operations and marketing initiatives.
Qualifications
- Pursuing a degree in Marketing, Communications, Public Relations, Sports Management, or a related field.
- Strong written and verbal communication skills.
- Exceptional interpersonal, communication, and customer-service skills; comfortable reaching out to local business managers, community partners, and families.
- Familiarity with social media platforms such as Twitter, Instagram, Facebook, LinkedIn, and TikTok.
